Terms of Service

ApplyKit — AI-Powered Job Application Platform

1. Introduction

These Terms of Service (“Terms”) govern your access to and use of ApplyKit (“Service,” “we,” “us,” or “our”), operated by ApplyKit OÜ, a company registered in Estonia, European Union.

By creating an account or using the Service, you agree to be bound by these Terms and our Privacy Policy. If you do not agree, do not use the Service.

2. Definitions

  • “Service” means the ApplyKit web application, APIs, and all related services.
  • “User,” “you,” “your” means any individual who creates an account or uses the Service.
  • “Content” means any data you upload, input, or generate through the Service, including CVs, cover letters, job descriptions, skills, and chat conversations.
  • “Generated Content” means any output produced by the Service's AI features, including tailored CVs, cover letters, interview preparation materials, skills recommendations, and career advice.
  • “Skills Vault” means your persistent inventory of professional skills stored and managed within the Service.
  • “Workspace” means the per-job AI-assisted environment where you generate cover letters, curate skills, and prepare for interviews.

3. Eligibility

You must be at least 16 years of age to use the Service. By using the Service, you represent that you meet this requirement and have the legal capacity to enter into these Terms.

4. Account Registration

You must provide a valid email address and create a password, or sign in with Google, to register. You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account. You must notify us immediately at support@applykit.io if you suspect unauthorised access. We reserve the right to suspend or terminate accounts that violate these Terms.

5. Service Description

ApplyKit provides AI-powered tools for job applications, including:

  • CV Import & AI Parsing — Upload a CV as PDF; AI extracts structured data (personal info, experience, education, skills) for editing and tailoring.
  • Visual CV Editor — Five professional templates (Stockholm, Helsinki, Copenhagen, Tallinn, Oslo) with customisable fonts, accent colours, margins, photo, section reordering, and fit-to-page options.
  • Cover Letter Editor — Five visual styles (Executive, Classic, Nordic, Minimal, Bold) with matching customisation options.
  • AI Cover Letter Generation — AI-generated cover letters matched to job requirements and your CV, with conversational refinement.
  • Skills Vault — A persistent, reusable inventory of up to 50 professional skills. Skills are extracted from your CV, inferred by AI, or added manually. Per-job AI recommendations highlight which skills are most relevant.
  • AI Interview Preparation — Conversational AI coaching for specific roles, generating likely questions, talking points, salary guidance, and a compiled preparation document.
  • Career Coach — An AI career strategist that analyses your CV and all saved jobs simultaneously to provide market alignment, skill gap analysis, and strategic career recommendations.
  • Job Collection & Management — Add jobs via PDF upload, URL paste, or text entry. AI parses job requirements automatically. Track application status (not applied, applied, rejected), archive and restore jobs.
  • Job Search Integration — Browse and save job listings from three Estonian job boards: Töötukassa (Estonian Unemployment Insurance Fund), CV Online (cv.ee), and CV Keskus (cvkeskus.ee). See Section 6 for details.
  • AI Generation Controls (My Kit) — User-selectable presets to customise the style and depth of AI outputs for each generation mode.
  • PDF Export — Export CVs and cover letters as professionally formatted PDF files (paid feature, see Section 7).
  • Multi-Language Support — Full interface in English and Estonian. AI outputs can be generated in either language.

6. Job Search Integration

The Service integrates with three Estonian job boards to let you browse and save publicly available job listings:

  • Töötukassa (Estonian Unemployment Insurance Fund) — public government job board.
  • CV Online (cv.ee) — public job portal operating in the Baltics.
  • CV Keskus (cvkeskus.ee) — Estonian job portal, accessed via a proxy service.

Important limitations:

  • All fetched data consists of publicly available job listings only.
  • The Service does not create accounts on job boards on your behalf.
  • The Service does not submit applications through job boards.
  • The Service does not store job board credentials.
  • Integration is read-only — no data is sent to job boards from ApplyKit.

You are responsible for complying with each job board's own terms of use when viewing or applying for jobs.

7. Pricing and Payment

7.1. Free Features

Creating an account, importing CVs, AI CV tailoring, AI cover letter generation, AI interview preparation, Career Coach, Skills Vault, job search integration, job management, visual CV editing, and cover letter editing are all free of charge.

7.2. Paid Features

€2.49 per PDF export. When you export a CV or cover letter as a PDF file, a one-time payment of €2.49 is charged. There are no subscriptions, recurring fees, or hidden costs.

7.3. Payment Processing

Payments are processed securely by Stripe, Inc. (PCI DSS Level 1 certified). We do not store your full credit card details, CVV codes, or bank account numbers on our servers.

7.4. Price Changes

We may adjust pricing with at least 30 days' written notice. Price changes apply only to future transactions.

8. Refunds

PDF exports are digital goods delivered instantly. Due to the nature of digital delivery, refunds are generally not available once the PDF has been downloaded.

If you experience a technical issue preventing you from receiving your PDF, contact support@applykit.io and we will resolve the issue or issue a refund.

EU consumers retain their rights under Directive 2011/83/EU.

9. Acceptable Use

You agree not to:

  • Use the Service for unlawful purposes.
  • Upload defamatory, fraudulent, or infringing content.
  • Misrepresent qualifications or experience with intent to defraud employers.
  • Reverse-engineer, decompile, or disassemble the Service.
  • Use automated tools or bots to access the Service outside of approved interfaces.
  • Abuse job search integrations by excessive automated querying.
  • Interfere with Service operations or other users' access.
  • Resell, redistribute, or sublicence the Service or its outputs.
  • Share account credentials with third parties.

10. Intellectual Property

Your Content: You retain all rights to data you upload. You grant us a limited, non-exclusive licence to process it solely for providing the Service.

Generated Content: You own Generated Content and may use it without restriction for your job applications. We claim no ownership.

Service IP: The Service, including its design, code, AI prompts, templates, and branding, is the intellectual property of ApplyKit OÜ.

11. AI Disclaimer

The Service uses third-party AI models (Anthropic Claude) to generate content. Important limitations:

  • AI-generated output may contain inaccuracies. You are solely responsible for reviewing all Generated Content before use.
  • ApplyKit does not guarantee any specific employment outcome.
  • Career Coach provides informational guidance only and does not constitute professional career advice, legal advice, or employment counselling.
  • Interview preparation materials are for practice only and do not guarantee interview performance.
  • Skills recommendations are algorithmic suggestions and should be validated against your actual abilities.

12. Data Processing and Privacy

We process personal data in accordance with our Privacy Policy and the EU General Data Protection Regulation (GDPR). Key points:

  • Your Content is processed by Anthropic's Claude API for generating tailored outputs.
  • We do not use your Content to train AI models.
  • Career Coach analyses all your saved jobs and CV simultaneously to provide strategic advice.
  • Analytics data (Google Analytics 4, Facebook Pixel) is collected for product improvement. See our Privacy Policy for full details.

13. Service Availability

We aim to maintain high availability but do not guarantee uninterrupted access. We are not liable for temporary unavailability due to maintenance, updates, third-party service outages, or circumstances beyond our control.

14. Limitation of Liability

To the maximum extent permitted by law, ApplyKit OÜ shall not be liable for indirect, incidental, special, consequential, or punitive damages. Total liability shall not exceed the amount paid by you in the 12 months preceding the claim, or EUR 100, whichever is greater. Nothing in these Terms excludes liability for negligence causing death or personal injury, fraud, or mandatory EU consumer protections.

15. Indemnification

You agree to indemnify and hold harmless ApplyKit OÜ from any claims arising from your use of the Service, violation of these Terms, or violation of any third-party rights.

16. Termination

You may delete your account at any time via account settings. Account deletion permanently removes all your data, including CVs, jobs, conversations, skills, and preferences. We may suspend or terminate your account for breach of these Terms. Sections 10, 11, 14, 15, and 17 survive termination.

17. Governing Law

These Terms are governed by the laws of the Republic of Estonia. Disputes shall first be attempted through good-faith negotiation. If unresolved within 30 days, disputes shall be submitted to the courts of Tallinn, Estonia. EU consumers may use the EU Online Dispute Resolution platform.

18. Changes to These Terms

Material changes will be communicated via email or in-app notice at least 14 days before taking effect. Continued use after the effective date constitutes acceptance.
